August 3, 2023 Meeting

Notes

Ally Kennedy has joined the School of Medicine communications group with her primary focus being the undergraduate and professional programs.

Tuition

The provided 2023-24 tuition figures have been staged for review and are planned to be rolled out ahead of Welcome Week. Shawn will communicate the plan to Mary Beth Mandich, Azalea Hulbert, and others ahead of the rollout.

We agreed that we want to help Azalea as much as we can to display tuition in a structured way that aligns with accreditation standards. Cassie mentioned that each program has a different accrediting body with different standards, including when tuition should be updated on the website. Cassie suggested reaching out to Azalea and legal to provide and interpret the various accreditation standards as we're working on the "phase 2" components.

Welcome Week

Zane, Nikki, and Ally are reviewing the current state of the Welcome Week page to provided any relevant updates. Shawn mentioned that we will be highlighting Paths to Well-being, Student Health, and the appropriate clinics on this page.

Academic Day 2023

The school is promoting an Academic Day event on August 16th for incoming undergraduate students and we will promote this event on the Welcome Week page.

Fellowships

Nikki is working through transitioning and organizing each fellowship throughout the website to use the updated page type and structure.

Also, Larissa DeWitt reached out to our CMS Desk support on July 18th about potentially adding a "couple" of new cardiology fellowship pages. We asked Larissa to reach out to Zane about this. Zane has not been contacted yet.

Website Access Requests

Shawn clarified that website access requests should still be made through CMS Desk support ticketing and that he will probably be tasked with managing users in Umbraco moving forward.

MD Program

Updating the MD Program section is still the next priority task.

Eastern Campus

As discussed in a previous meeting, Sam inquired about adding a variation of the affiliate bar to the Eastern campus page with two hospitals represented, Berkeley Medical Center and Jefferson Medical Center. We will add a full-width version of this component with the WVU Medicine logo and two buttons.

In addition to this, and as discussed in a previous meeting, we will add a rendition of the School of Nursing Campuses page with information about each campus and each clinic and link to each.

Sam will provide copy and, if possible, in-the-moment photos.

Department of Ophthalmology and Visual Sciences Pearls Conference

Sam let us know that he will create the 2024 Department of Ophthalmology and Visual Sciences Pearls Conference event under the School of Medicine events as he did with last year's event. This event is held in January.

Videos

Hannah shared the background video files for the homepage and the Department of Neurosurgery, Department of Radiation Oncology, and Students pages on July 13th. We will add these background videos to the appropriate areas of the website.

Hannah is currently working on creating multiple recruitment videos for each undergraduate and professional program. We discussed various solutions for presenting these videos including adding a "gallery" of video thumbnails dynamically fed from YouTube that link to each corresponding video on YouTube or building a more interactive video "gallery" of embedded YouTube videos. We will continue to think on this.

Homepage

We reviewed progress on building the updated homepage in Umbraco.

The following suggestions were made:

  • The profile and social media links are a single component and the entirety of the spotlight area, including the list of news, is a single component. The ability to reorder these components will be added.
  • Note: Each school may be required to create a Threads account in the near future.
  • The ability to select multiple profiles will be added along with the option to set an expiration date for each. A random profile will display on each page load.
  • The following information will be added to the profile:
    • Which group the person is associated with (student, alumni, faculty, etc.)
    • Hometown

Additional icon options will be chosen from the Font Awesome library of free icons.

Cassie will share the media parameters of an Adobe Express project to potentially fit to a spotlight item to reuse assets.

We will figure out a way to A/B test versions or areas of the homepage.

Timeline

Cassie, Zane, Nikki, and Ally will begin filling out this page with new content over the next two weeks.

The design review and submission to Conceptboard will happen through September, and any adjustments will be made during this time.

The page will go through the ITS review process during the first half of October to launch before the school's homecoming events on October 21st.

Clinics

Cassie will provide a vector file of the Speech, Language, and Hearing Clinic lockup created by Aira which will display with the link to this clinic on each corresponding program page.
