What We Discussed

  • Overall Process Changes – (We didn’t discuss this in the meeting, but it came up briefly in a roundabout way when we e-mailed you about possibilities for the NPHW page.) We have recently started working towards a more realistic timeline for all parties involved regarding new custom work. While we understand that things come up suddenly and may need attention, we are working to keep our projects within one month’s notice. In most cases, this will be the minimum time needed to produce any From this point on, we are going to start asking communicators to provide us with content and information at least two months out from the event or deadline needed. For repeating events, such as NPHW, this will allow us to create a more rich and unique product that meets your needs with each year, and enough time to thoroughly work through content strategy and any other hiccups that come up in normal processes.
  • National Public Health Week – We discussed the opportunity for this to be a rich, interesting experience, similar to Discover. Kim has yet to receive any information on content from the powers that be, but we will definitely be revisiting this come next year.
  • Deans Colloquium Page – We presented this to Kim as a fully-functional page in Umbraco. We explained how it works and walked her through making changes. Kim was very pleased with the design implementation. There were a few design tweaks to be made to change button text and such, but otherwise this is good to go.  
  • ICRC/Subsite Navigation – Kim mentioned this issues last meeting, but we have been working towards a solution that affects all of the schools functions, which is why this is not complete. We will continue to discuss this and should have a solution by our next meeting.
  • Student Announcements – We discussed the Student Announcements change I owe you that I keep forgetting about. I was out on Friday, but I will work to get this done for you! I apologize.
  • Student Resources (Policies and Forms) – Kim mentioned that they are having issues with Students looking for Forms and Policies on the website and having a hard time finding them. We agreed to add a small bar to feature them on the Student Resources Page.
  • Accessibility Audit – As you know, we’ll be going through an audit to see if our websites meet government standards come May. On our end, we have made many changes to improve your website. I have also gone through all of the sites I lead on to check the content for any accessibility issues using our Audit tool. Your site was overall pretty good, most issues are small and easy to fix. The worst offender, however, is OLLI. Most of your sites (meaning, your school, your departments, and your subsites) have very few- less than five issues- but OLLI has nearly 30, sometimes multiple on one page. While I’m more than glad to be able to give you this information, but I have no authority on my own to follow-up on this and make them fix it. This is merely a courtesy because we would not want you to go down with the ship if it could have been repaired. We would highly suggest these issues (as well as all of the other issues site wide) are (correctly) fixed by May, if not earlier so you don’t have to worry about it. I will send a separate e-mail listing the issues and common fixes from our Website Content Guide.
  • Student Profiles – Kim mentioned that they will be getting some awesome new Student Profile information and they would potentially like to change the Student Profiles design to reflect that. This is actually perfect timing as we are beginning to work on centralizing profiles on all of our school sites! Nursing and Medicine have already started work on this. I can’t give you any dates, but we are actively working on this transition and will let you know as soon as we have something more for you on this subject!
  • Job Board / Practice Based Education Job Board – We briefly discussed this and showed Kim how the new PBE Job Board She was very happy with the result. She mentioned that PBE will be going through some changes in the future, so until then the board will likely be unused. She mentioned Scot using the original Job Board and wondered about the possibility of Expired Posts not showing. Though we can hide Expired Posts on the live page, we cannot delete them from the back end where the information is entered. For that reason we feel it would be confusing to hide them on the live page on our end. Kim is going to talk to him and figure out what direction to go on this, but will also explain to Scot how unpublishing vs. deleting those posts works.
