What We Discussed

  • What we're working on - Events, News, profiles and other things are getting moved into News. We're hoping to provide a broader net of options rather than one choice of a limited "standard" news story. This will allow for more interesting and engaging news, as well as better organization and utilization of content.
  • Intranet -
    • Sunshine let us know that Accreditation is coming soon. The Academics Affairs person left, but has been replaced, which has slowed things down a bit. Dentistry also lost a more senior admin, and is in the process of hiring a replacement. Dr. B only cares about calendar looking a particular way. Sunshine explains that it is a larger problem than that and serves a much greater purpose than just looking like a traditional calendar. She was also concerned as the new Academic Affairs person came to her and didn't know if they had a calendar/where their calendar stuff is. Regardless, Sunshine is ready to get rid of the Intranet and is willing to push to do so. She continues providing options and things to try, but Dr. B is resistant. Dr. B then contacted Shawn, who repeated to him what had already been said by Sunshine and cced her on the reply. Shawn explained that he has spoken with Jimmy (our immediate boss) and Laura (our boss' boss, head honcho) and they all support getting rid of the Intranet. It's not truly secure and is a hassle to maintain. It's only gotten worse now that we have hybrid, remote, and in-person positions, plus VPN access is limited because it's costly. We're guesstimating that ~70% of existing content could go to hub and be semi-hidden, and the remaining ~30% should be in a SOLE type secure area. Sunshine said she is excited to go through everything in-depth and work on that content.
    • Next week Shawn will have the systems team get Sunshine into Hub so she can start exploring. It's very similar to the Dentistry site in terms of ease of use. There will certainly be content that is formatted one way and needs to become something different now that it's not on the intranet.
    • Shawn also suggested setting up weekly/bi-weekly half hour check-ins for a bit to review the Intranet migration process, questions, and suggestions.
    • Sunshine was a bit concerned having to reach out to Erin's team as she doesn't want to bother them. Erin gave Shawn some general overview in response to questions Sunshine sent. Shawn also explained before he started working here, Erin was in our positions so she is already very familiar with the Intranet situation and has been pushing for it's removal for quite some time. She may seem busy as she has many hats, but she fully supports this move. Sunshine doesn't know how to use SOLE, but her people should already know how. She has to get familiar with SOLE but she doesn't need to feel like she can answer everyone's questions. Erin's team exists for that reason. Things like schedules SHOULD be private. After the shooting at Virginia Tech, ITS sort of hammered down on this. Shawn briefly looked over some existing content and explained that most of it is actually not current any more (like schedules from years ago), so those will not need to be migrated anyway.
  • Calendar - We'll deal with Calendar as it comes. :)
